OBJECTIVES OF THE PROGRAMME

To promote technical cooperation, stimulate interest in and coordinate support towards health development, based on global and regional strategies and WHO guidelines.

Duties
  • Under the general supervision of the Programme & Administrative Officer, the incumbent performs the following functions:
  • Screens and routes incoming mail, documents and reports to the supervisor with full background information and forwarding to the staff concerned.
  • Takes/transcribes non-technical and technical correspondence, reports, etc. from dictation, tapes and manuscripts, using word-processing equipment, ensuring grammatical accuracy, conformity with procedural instructions and format; drafts correspondence on routine matters on own initiative or from brief instructions, types statements, reports, studies, including statistical tables, etc. from manuscripts using a word processing equipment.
  • To screen and receive visitors and telephone calls with tact, discretion, making appointments, answering queries and/or redirecting visitors and callers with diplomacy and courtesy, obtaining background information on the purpose of appointments.
  • Maintains correspondence logs, office records, filing and reference systems on various subjects.
  • To maintain, in close collaboration with colleagues, the work area filing system, and to maintain files for the professional staff members supported, obtaining relevant information as required.
  • Provides support in the arrangements for meetings, workshops and training courses, including preparation of related files.
  • Provides secretarial and clerical support to professional staff, visiting staff and consultants as and when required.
  • To use the Enterprise Resource Planning system (ERP); initiate actions and contracts as instructed.9. Performs other related duties as required.
Requirements
  • Education
  • Essential: Completion of secondary school or equivalent. Secretarial training an advantage.
  • Desirable: Bachelor's degree in administration, secretarial or related studies
  • Experience
  • Essential: At least three years of relevant experience in secretarial and clerical work.
  • Desirable: Office experience, preferably including some experience in the UN system or international organization.
  • Skills
  • Thorough knowledge of office procedures.
  • Ability to draft routine correspondence.
  • Training in-office procedures and in the use of standard office software such as MS Word, Excel, PowerPoint, and standard internet applications.
  • Training in Oracle-based or other ERP systems an asset.
  • Ability to work harmoniously as a member of a team, adapt to diverse educational and cultural backgrounds and maintain high standards of personal conduct.
  • Use of Language Skills
  • Essential: Expert knowledge of English. Expert knowledge of Local language.
  • Other Considerations:
  • Experience in Oracle-based or other ERP systems
  • The work is performed in a typically normal office environment.

REMUNERATION

WHO offers staff in the General Services category an attractive remuneration package, which for the above position includes an annual net base salary starting at USD 12,304 (subject to mandatory deductions for pension contributions and health insurance, as applicable) and 30 days of annual leave.
