Position Summary

Location: Thlok Andoung, Sla Kram, Siem Reap

Contracted Hours: 40 hours per week

Schedule: Sunday – Thursday

Working Time: 9:00 AM – 6:30 PM

Role Overview

The Volunteer Coordinator is the main point of contact for all volunteers, interns, and student groups at REACH, supporting the day-to-day operations of volunteer placements from start to finish. This includes volunteer vetting, inductions, accommodation coordination, weekly check-ins, day-to-day support, and departures.

Mornings are mainly focused on administrative tasks such as coordination, reporting, communication, and database management. Afternoons and evenings are more focused on working directly with volunteers and students by supporting classes and electives, leading English Conversation Club sessions, presenting to school groups, and representing REACH within the community.

Volunteer coordination is the main focus of this role. During quieter volunteer periods, the role also supports Curriculum Development and Piloting projects under the guidance of the Program Development & Placement Manager. Other responsibilities such as fundraising and visitor activities are supported when time and capacity allow. The role also requires planned and occasional overtime throughout the year, as outlined in the Overtime Requirements section below.

Duties & Responsibilities:
  • Volunteer Coordination (Primary Focus)
  • Act as the primary point of contact for all volunteers, interns, and student groups during their placement, addressing their needs and concerns.
  • Host all volunteer and intern vetting and screening calls, ensuring candidates align with REACH's needs and meet all vetting criteria. Recommendations submitted to the Manager for approval.
  • For long-term volunteers and interns (1 month+) who will work with the REACH team on projects, support the Manager with any second vetting calls or follow-up calls required.
  • Coordinate volunteer, intern, and student group arrivals, inductions, and departures.
  • Organise airport pick-ups and welcome volunteers at their accommodation.
  • Host weekly meetings with volunteers and interns to check in on their placements and provide updates, helping them feel connected and part of the community.
  • Join volunteer breaks where possible to build relationships and stay close to the volunteer experience.
  • Pair accepted volunteers with the most suitable projects and project teams based on their skills and experience. Long-term Curriculum Development placements are confirmed with the Manager.
  • Remain the day-to-day point of contact for long-term volunteers and interns even after they are assigned to a project, with the Manager involved at the project-leadership level.
  • Manage the placements database, including data entry and recordkeeping.
  • Facilitate communication with prospective placement applicants, gathering information and ensuring adherence to policies and procedures.
  • Create new placement resources and materials and continually update existing resources and processes within the department.
  • Foster positive relationships with volunteers, interns, and student groups, and encourage post-placement engagement.
  • Take placement photographs on an ongoing basis and organise them for distribution at the end of a placement.
  • Solve day-to-day problems and concerns raised by volunteers and interns. Escalate unresolved issues to the Manager.
  • Coordinate student group activities, presentations, and excursions.
  • Take on joining and teaching assistant roles alongside volunteers and within classes, supporting educational goals and maintaining continuity when volunteers are not present.
  • Lead English Conversation Club sessions: Primary (11.00am – 11.30am and 4.00pm – 4.30pm) and Youth (5.00pm – 5.30pm).
  • Administer first aid to volunteers and students as needed. First aid training is provided by REACH.
  • Curriculum Development & Piloting Support (Secondary Focus, Low Volunteer Periods)
  • Support Curriculum Development and Piloting projects during low volunteer periods, including coordinating contributors, organising materials, scheduling reviews, and tracking project progress.
  • When volunteers arrive who are assigned to curriculum projects, work directly with them on those projects or delegate clearly so the work continues without intervention from the Manager.
  • Complete REACH's internal Curriculum Development training, including pedagogy fundamentals and AI-assisted curriculum tools, as a priority before taking on Curriculum Development support work.
  • Participate in weekly Curriculum Development hub sessions when Curriculum Development support work is active.
  • Supervising the Placement Assistant
  • Provide day-to-day supervision, guidance, and support to the Placement Assistant, delegating appropriate tasks and checking quality of work.
  • Ensure the Placement Assistant's tasks are completed and feed back into the Coordinator's overall responsibility for volunteer operations.
  • Orient and onboard any new Placement Assistant, including work-experience students, to departmental processes and expectations.
  • Act as a first point of escalation for the Placement Assistant, coaching them to resolve issues independently where appropriate.
  • Provide regular feedback to the Manager on the Placement Assistant's progress and any support needs.
  • Reporting & Administrative Duties
  • Write monthly reports for the Nutrition and Garden programs, summarising key activities, volunteer contributions, and progress updates.
  • Collaborate with relevant departments to ensure all placements are non-disruptive and beneficial to the organisation.
  • Other Duties (As Capacity Allows)
  • Coordinate volunteer participation in workshops and fundraising activities.
  • Work alongside the fundraising team to support in-country campaigns and public relations with donors and past volunteers.
  • Support the fundraising team with administrative tasks and data entry.
  • Assist with visitors and tours.
  • Willing to work flexible hours when needed, including planned and occasional overtime, to welcome volunteers and respond to placement needs.
