The primary responsibilities of the Administrator at Sothy’s Pepper Farm encompass the collection, maintenance, organization, and dissemination of information and data. This information and data serve both internal and outreach purposes, which are crucial for the farm's management and growth.

Duties
  • Information and Data Needed Internally
  • Monitoring the financial aspects of the Pepper Shop and Export operations
  • Compiling and reporting staff lists and salaries, including regular and special staff for harvesting
  • Managing agreement documents for volunteers and maintaining signed copies
  • Overseeing financial aspects of farm care, including fertilizing, replanting, and shade covering
  • Maintaining and updating essential operational materials for the farm, such as invoice books, labels, price lists, flyers, and name cards
  • Monitoring office operation costs
  • Information and Data Needed for Outreach Operations
  • Maintaining a customer address list (approximately 200 customers, some of whom have been returning for years), along with information about past purchases
  • Managing correspondence with four volunteer arrangement organizations and individuals interested in becoming volunteers, facilitating the decision-making process by Management
  • Coordinating travel arrangements with volunteers visiting the farm, including contract signing, room and work assignments, and training upon their arrival
  • Sustaining communication with the Trip Advisor website, which leads to farm visits
  • Maintaining and regularly updating the farm's website, including software and hosting costs
  • Managing and renewing office software licenses, occasionally requiring hardware repairs or replacements
  • Corresponding with individual pepper buyers and potential re-sellers, providing personalized, friendly, and useful information. This task demands maturity and strong language skills.
