Duties
  • Responsible for the detailed execution of the early and late shift checklist
  • In charge of all preparation for the check-in and check-out of the guest
  • Responsible for the invoicing, using the existing templates and lists
  • Settlement of the daily income
  • Responsible for the daily check of the times in the time recording system for staff
  • In charge of planning the transportation for the guest
  • Responsible for the Outlook E-Mail Inbox (info@farmhouse-smilinggecko.com)
  • Responsible for the cleanliness at the Front Office as well as surrounding.
  • Warm welcome and care personal farewell of the guest included check-in and check out
  • Resolve customer issues, complaints, problems in a quick, efficient manner to maintain a high level of customer satisfaction and quality service.
  • Delegates daily tasks to Front Office staff
  • Responsible for the quality of service at Front Office
  • In charge of the daily processes at the Front Office
  • Handle all reservation requests (rooms, meetings, and restaurant)
  • Handle all requests from guests
  • Take care of all associated correspondence in English and Khmer
  • Controls cash transactions at the front desk
  • Ensure Front Office logbook and tour program are always updated and organized
  • In charge of proper invoicing for 3rd parties (DMC, TA, Organizations, Companies…)
  • Responsible to fulfil all the tasks mentioned on the early and late shift check list
  • Supervise and manage working schedule properly for Front Desk staff
  • Prepare monthly and yearly Front Office budgets based on statistics or previous years, industry, and economic trends, estimates of operating expenses and other pertinent data, confer with Sale Manager (sales) and others.
  • Authorize the acceptance of checks, cashing of personal checks. Cash advances rebates, refunds of deposits, paid out rate/room changes, release of airline crew allowances, etc based on established procedures, amount, identity of guests or persons involved and availability of higher supervision.
  • Implement hotel discount policies, recommend approval of credit, accommodations and decide whether to upgrade guest’s accommodations to promote and maintain good public relations.
  • Support the sales and marketing efforts in catering to the needs of our clients and guests.
  • Enhance the promotion of sales, but largely relying on telephone sales calls to travel agents, tour operators, wholesalers, and airlines.
  • Assist in making personal calls together with sales Manager to travel agents, tour operators, wholesalers, and airlines to provide back-up support for our sales and marketing efforts.
  • Attend all sales related meetings such as Sales and F&B Marketing.
  • Increase the visibility and awareness level of hotel.
  • Develop good relations with local ground operators.
  • Liaise work closely with the Sales Manager for the development of the different markets.
  • Detect market leads and pass them on to the Sales Manager.
  • Keep alert to competitive strategic moves by other competitive hotels.
  • Keep geographical statistics as to where most of the room nights produced come from (office/area).
  • Set up an account history filing system. Develop regular and systematic follow-up system
  • Perform other duties as requested by management.
Requirements
  • BBA in related field or relating guide training course
  • At least 4 years in hotel industry of the similar role or above.
  • Proven work experience as a Front desk manager or Reception manager
  • Hands on experience with office machines (e.g. fax machines and printers)
  • Thorough knowledge of customer service, office management and basic bookkeeping procedures
  • Proficiency in English (oral and written)
  • Solid knowledge of MS Office, particularly Excel and Word
  • Excellent communication and people skills
  • Good organizational and multitasking abilities
  • Problem-solving skills

Requirements
  • Work experience as a Duty Manager or similar management role
  • Previous experience in the 4/5 Star hotel preferred
  • Customer service experience
  • Knowledge of cash management and bookkeeping procedures
  • Team management skills
  • Strong organizational skills
  • Experience with facilities maintenance and/or security
  • Strong problem-solving skills
  • Availability to work in shifts including weekends
  • Bachelor Degree in Business Administration is a plus
