Warehouse Documentation Assistant

Appetizer : Warehouse Documentation Assistant will be in charge of day to day warehouse documentation activities, as per correct operational standard procedures, providing support to the operational activities and ensuring that all data requirements are correctly recorded to match physical transactions. Provides support to Warehouse Managers and other members of the WND team at all times.

Duties
  • Key Responsibilities
  • Execute documentation activities within the warehouse
  • Check receiving documents for completeness and accuracy
  • Make sure that all supporting documents match with the requirements of each client
  • Preparing necessary sheets/forms for unloading process
  • Communicate with SCM/CS team for any exceptional delivery and share the issue with related party in Warehouse and Distribution (WND) operations.
  • Inform or send Incident Reports (IR) to SCM/CS team for any unusual receiving condition.
  • Follow up with SCM/CS team to get all Incidents/troubled cases fixed timely by vendors/factories.
  • Create weekly reports such as manual processing record and receiving issues to management and/or SCM/CS team.
  • Ensure that cargo verifications and updates are proceeded as per each client’s detailed requirements.
  • Work with SCM/CS team on container loading plans (CLPs) and container release Issues
  • Check container loading plan preparation through comparing data in the systems
  • Prepare loading plan with the outbound system and necessary things related to the loading process
  • Follow up and coordinate with trucking and/or the carrier for empty container readiness, carrier seal, non-compliance container, not proper empty container to be shipped issue and traffic condition
  • Make sure the carrier seal and buyer seal match with the EIR (Equipment Inspection Report) from the carrier or container yard
  • Compare data in loading plan with that in the system to make sure that all cargoes in the loading plan have already received.
  • Follow up non-compliance cargo (incident report) with receiving team and/or SCM/CS team to get certainty cargoes for loading.
  • Coordinate with the floor operation team on the loading process and make stuffing priority list referring to the closing time port
  • Make sure that the container loading plan matches with the client requirement for each consignee/client and inform operation floor team for any special request to avoid additional cost and complaint.
  • Inform SCM/CS for unnecessary situation and communicate for any potential delay to the loading process
  • Make coordination with trucking to send full containers to the port timely.
  • Make sure that operation team have loaded the cargo based on the loading plan through verification process with the system (WMS/LNS)
  • Make coordination with custom house brokerage team related to the export documentation and make sure that all containers have proper export documentation.
  • Directly report to supervisor or management for any stuffing issue to get the final decision
  • Provide container data which need to extend closing time port and follow up with the carrier and SCM/CS
  • Create daily Container Loading Plan (CLP) report, weekly summary loading plan report and exception report
  • Other key responsibilities
  • Adherence to warehouse documentation and customer service processes, guidelines and standards for WND Operations
  • Execute improvements of warehouse administration flow and customer service quality and efficiencies
  • Work closely with SCM/CS Team and support any development projects undertaken
  • Achieve the targeted Key Performance Indicator (KPI)’s, measurements, and client specific requirements -reporting as well as proactive action to prevent errors from occurring
  • Maintain good relationships and work pro-actively with counter-parts (both internal and external)
  • Ensure that all MAERSK’s counter-parts understand our requirements and comply to them

Warehouse Supervisor
