The School Receptionist/Administrative Assistant is a key member of the front office team, serving as the first point of contact for families and visitors while supporting essential school administration. This role requires a proactive, organised, and friendly individual who can balance front-facing responsibilities with efficient office support. A strong sense of initiative, attention to detail, and excellent interpersonal skills are essential.
- Front Desk Operations
- Greet and assist visitors, parents, and students in a courteous and professional manner
- Serve as the first point of contact for all general enquiries
- Conduct campus tours for prospective families, highlighting key features of the school and its programmes
- Take interest in prospective student leads and encourage registrations through clear, positive communication
- Maintain the School Enquiry & Enrolment Record, ensuring all enquiries and follow-up actions are accurately recorded and tracked
- Ensure prospective parents receive all relevant school information (admissions documents, fee structure, curriculum overviews, etc.)
- Administrative Support
- Record and monitor daily student attendance; follow up with teachers and parents as required
- Create and maintain templates for student report cards, files, certificates, and awards
- Assist with data entry, scanning, printing, and photocopying
- Manage student registration processes and assist with enrolment-related tasks
- Process after-school programme (ASP) registrations and maintain accurate records
- Keep office supplies well-stocked and organised
- Communication & Coordination
- Relay important messages to parents, staff, and students in a timely and professional manner
- Support scheduling of appointments, meetings, and school tours
- Liaise with staff regarding follow-up actions from parent enquiries
- Contribute to parent communication efforts through notices, emails, and printed materials
- Event Support & Organisation
- Assist in the organisation and logistics of school events (e.g. parent meetings, assemblies, workshops, graduation)
- Coordinate materials, refreshments, room setup, invitations, and registration lists
- Support the execution of field trips and other school-wide activities
- Student Services
- Support arrival and departure routines for students
- Work closely with teachers and co-teachers to assist with daily school operations
- Maintain student records and contribute to a welcoming school culture
- Previous experience in a receptionist or administrative role (school or service sector preferred)
- Prior experience in an international school setting is an advantage
- Proficient in Microsoft Office Suite and Google Workspace
- Excellent verbal and written communication in English (Khmer is an advantage)
- Strong interpersonal skills, with a friendly and professional demeanour
- Detail-oriented, organised, and capable of multitasking in a fast-paced environment
- Comfortable speaking with parents and encouraging engagementin school activities
Finance Assistant
The Finance Assistant plays a key role in supporting the financial and administrative operations of NIRA International School. This position involves maintaining accurate financial records, assisting with billing and payments, and ensuring smooth day-to-day financial transactions. The ideal candidate is organised, discreet, and detail-oriented, with a proactive attitude and strong numeracy skills. When required, the Finance Assistant may also support the broader administrative team with general office duties.
- Financial Recordkeeping & Transactions
- Assist with data entry for school income and expenditure
- Prepare and maintain clear records of invoices, receipts, and payment logs
- Support daily cash handling procedures including petty cash and school fee collections
- Reconcile transactions and submit documentation to the accountant or Head of School for review
- Maintain accurate digital and physical filing of all financial documents
- Billing & Fee Management
- Prepare and distribute monthly, termly, or annual school fee invoices
- Track incoming tuition payments and follow up on any late or missing payments professionally
- Record and process payments for After School Programmes, uniforms, transport, and events
- Issue payment receipts to parents and maintain up-to-date family account records
- Communication & Parent Liaison
- Respond to basic finance-related queries from parents in a clear and courteous manner
- Ensure parents are informed about payment deadlines, methods, and any applicable policies
- Provide clear and accurate breakdowns of charges when requested
- Reporting & Support
- Assist with internal financial reports and summaries as directed by the Accountant, Head of School or
- BOD
- Support end-of-month financial processes by organising required documentation
- Assist in preparing records for audits, inspections, or reviews
- Coordinate with the admin and admissions teams to ensure smooth processing of new enrolments and withdrawals
- Procurement Support
- Support purchase order processing and obtain quotations for school supplies or services
- Liaise with suppliers on invoice matters and confirm receipt of goods or services
- Track delivery of ordered items and assist with payment approvals Administrative Support (As Needed)
- Assist the school’s front office or admin team with routine administrative tasks when necessary
- Support with printing, filing, record updates, and general office duties during busy periods or staff absence
- Contribute to event support and logistics if required
- Previous experience in a finance or administrative role (school-based or accounting firm preferred)
- Basic understanding of bookkeeping and financial procedures
- Strong numeracy and data entry skills
- Proficiency in Microsoft Excel and Google Sheets
- Good spoken and written English (Khmer language skills are an advantage)
- High level of accuracy, confidentiality, and professionalism
- Ability to prioritise tasks and meet deadlines in a busy environment
- Willingness to assist across departments and support wider school operations when needed
