Instructions to bidders

1. All responses to this RFQ shall be submitted via email or submitted physically at our office.
2. All documents submitted in response to this RFQ, as well as related correspondence, will be in English and PDF format.
3. Offerors must fully review all instructions and specifications in this RFP. Failure to do so will be at the offeror’s risk.
4. Responses to technical questions will be distributed to all bidders.
5. In case samples are required, samples from successful bid(s) will be retained for product knowledge and reference purposes. Samples from unsuccessful bids, will be discarded. However, if an unsuccessful bidder wishes to get their samples back after review, they can indicate in their offer and include prepaid return envelope or arrange pick-up. Note that the sample will be returned open because of the review process.
6. At a minimum, quotation submitted must have supporting documents such as i) Detailed cost quotation: detailed cost quotation for designing and printing both Khmer and English, ii) Valid/Current Business Documentation (Business Certificate of Incorporation, Business license/registration, Tax Clearance Certificate (VAT Registration and WHT Exemption Certificate if applicable), and Valid Patent, iii) References: List of previous and current clients for contracts of comparable scope and value (minimum 3), iv) Availability of paying on account should be noted, and v) Delivery time.
7. Bids shall be valid for 30 days after submission.
8. Bid submitted without all above requested information can be disqualified as non-responsive.
9. Completed “Submission Check List” (Attachment C)
10. Completed “List of Exception (if applicable)
11. Use Appendix A: Bid sheet to submit your quotation.
