Position Summary

The Procurement and Purchasing Officer performs intermediate administrative duties related to procurement of supplies, materials, equipment and the stationery as well as the maintenance of associated records and documentation. The work is carried out under the general supervision of the Associated Director of Procurement and includes other related tasks as assigned.

Duties & Responsibilities:
  • Collaborate with internal stakeholders including academic and support staff, to identify procurement needs, quality standard and delivery requirements.
  • Source suppliers and obtain quotations or requests for proposals, and ensure competitive pricing and quality standards are met. 
  • Maintain positive and professional relationships with suppliers and conduct regular price reviews and negotiation. 
  • Create and process purchase orders, ensuring accuracy and obtaining the necessary budget holder approval. 
  • Initiate, record, and monitor purchase orders to ensure timely and accurate delivery.
  • Manage and fulfill requests for stationery and resources materials. 
  • Review and match product invoices with PR and the record for the accounting department to process the payment. 
Expected Profile of Candidates
Skills & Knowledge:
General & Technical Skills
  • Minimum of one to two years of experience in a related field. 
  • Strong verbal and written communication skills.
  • Good knowledge of procurement procedure, policies and regulations.
  • Ability to work effectively both independently and as paced of a team, particularly in a fast-paced or high-pressure environment.
Soft Skills
