KEY RESPONSIBILITIES

Job summary

The CEO Secretary manages the executive’s agenda, schedules appointments and meetings, arranges travel, maintains records, and assists with various administrative tasks. This role ensures efficient coordination and provides strong support to the CEO.

Duties
  • ESSENTIAL DUTIES AND RESPONSIBILITIES – (KEY ACTIVITIES)
  • Maintain the executive’s agenda and assist in planning appointments, board meetings, conferences, etc.
  • Attend meetings and take minutes.
  • Prepare, draft, and translate documents as required.
  • Make travel arrangements for the CEO.
  • Handle confidential documents and ensure they remain secure.
  • Collect and maintain electronic and paper records, ensuring information is organized and easily accessible.
  • Research and prepare presentations or reports as assigned.
  • Perform other tasks as assigned by the CEO.
  • General Responsibility
  • Managing the CEO’s schedule.
  • Organizing documents and maintaining filing systems.
  • Managing communications and correspondence.
  • Supporting meetings and travel logistics.
  • Handling confidential information with discretion.
  • Providing general office support.
  • Translation and language support (if required).
  • Others

Requirements
  • Required skills
  • A degree in business administration or a related field.
  • Proven experience as an executive secretary or in a similar administrative role.
  • Strong interpersonal communication, problem-solving, and teamwork skills.
  • Familiarity with basic research methods and reporting techniques.
  • Strong organizational and time-management skills, with the ability to prioritize tasks effectively.
  • Excellent communication and negotiation skills.
  • High level of integrity and the ability to maintain confidentiality.
  • Qualifications
  • Ability to handle confidential information with discretion.
  • Fluency in both oral and written English.
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint).
  • Experience
  • Foundational administrative skills.
  • Eagerness to learn.
  • Ability to adapt to the fast-paced, dynamic environment of a CEO’s office.
