Job Summary

The land administration officer has the main role in managing the land data report, monitoring the process of transfer of ownership or land tenure until the end, monitoring the land purchase and sale process and preparing all relevant documents to keep and review documents, letters and contracts assigned by management.

Duties
  • Record daily entry-exit documents
  • Record daily entry-exit documents
  • Prepare daily entry-exit report
  • Monitor ownership transfer process
  • Prepare to send documents to relevant persons for fingerprinting
  • Liaise with relevant officers and staff to follow up on documents
  • Prepare and save files
  • Scan and organize daily incoming and outgoing files in an orderly manner, both Hard & Soft Copy
  • Prepare reports and documents related to the transfer of land ownership and the letter of transfer of land tenure in an orderly manner and in accordance with the procedures.
  • Organize the Folder and name the File Name after each location.
  • Divide by location, land and story to save
  • Organize the received documents according to the type of story and in the correct order in both Hard & Soft Copy to make it easy to find in time
  • Prepare license application documents
  • Prepare documents to apply for a license
  • Follow the license application until you get the license
  • Other functions
  • Request for necessary equipment in the department

Legal Administrative Assistant will focus on general administrative duties, document delivery, scanning, and maintaining accurate records of incoming and outgoing documents. This role is vital for ensuring efficient operations and communication within the legal team.

Duties
  • Provide comprehensive administrative support to the legal team, including managing schedules, organizing meetings, and handling correspondence.
  • Ensure timely delivery and receipt of legal documents to and from clients, courts, and other stakeholders.
  • Scan, digitize, and organize legal documents to ensure easy retrieval and access.
  • Maintain accurate records of all incoming and outgoing documents, ensuring proper filing and documentation.
  • Serve as the point of contact for the legal department, managing phone calls, emails, and other forms of communication.
  • Assist in preparing, proofreading, and editing legal documents, contracts, and correspondence.

Requirements
  • Bachelor degree or equivalent required; Associate’s degree or higher in legal studies, business administration, or related field preferred.
  • Minimum of 2 years of experience in an administrative role, preferably within a legal environment.

The Executive Assistant is expected to provide full administrative and secretarial support at a senior level to ensure the smooth management of her day-to-day affairs, and most effective use of their manager time. Sensitive and complex issues must be handled in a professional and objective manner. Appropriate initiative must be taken especially in the manager’s absence.


Duties
  • Manage sensitive matters with a high level of confidentiality and discretion especially decisions directly impacting the global operations of the company.
  • Sustain a daily calendar of meetings and events, maintaining a complex calendar and schedule, resolving any scheduling issues
  • Review submitted work that comes to the Directors office in the event it needs to go back to the owner for further edits, therefore conserving the Directors time.
  • Keep the Director’s communications organized so that they can easily access the most important information without having to sort through low-priority items
  • Prepare expense reports as required and monthly.
  • Screen incoming telephone calls; take and deliver accurate messages; respond to requests by gathering and providing information and referring non-routine calls to the appropriate staff.
  • Draft and prepare correspondence for internal announcements, board meetings, and any matters that the Director is involved with.
  • Prepare presentations for meetings as directed by the Director using PowerPoint presentations
  • Complete special project assignments as directed by the Director
  • Prepare templates using office applications as required for the company
  • Manage the Directors contacts
  • Be responsive to emails/texts/phone calls, with contact outside normal business hours
  • Welcome the Director’s guests by greeting them, in person or on the phone, answering or directing inquiries
  • Represent the company and the Director in a positive light through great follow-through skills and sound judgment.
  • Conserve the Director's time by reading, researching, collecting, and analyzing information as needed, in advance
  • Complete adhoc projects as assigned.
Requirements
  • Bachelor's degree required
  • At least 8 years of related experience required in working in an executive assistant or operations assistant managerial role
  • Knowledge: General Admin, Land Administration, Legal, and Real Estate
  • Language: Khmer and English, Chinese
  • Computer literacy: Microsoft Applications – Office 365
  • Excellent communication and time management skills; proven ability to meet deadlines.
  • Advanced in English, reading, writing, and speaking, with exceptional grammar and the ability to produce documents with no errors
