The position

Reporting to the Facility Manager, the Administrative Officer oversees front office operations at Little Hearts, a residential facility for orphaned children just outside Phnom Penh. Specific tasks include the following:

Duties
  • Prepare all recurring financial and administrative reports (monthly expenses, salaries, office budgets, market prices, etc.), including monthly reconciliation of receivables and payables in collaboration with the organization’s part-time accountant
  • Prepare all reports intended for national and local government agencies (annual and biannual reports, MOUs, operational license renewal, briefs to child welfare authorities, etc.) and liaise with government counterparts to ensure compliance with administrative requirements
  • Liaise with senior administrators and teachers at the children’s day school in Phnom Penh
  • Maintain, organize and file all company records
  • Maintain and update the database of sponsors, donors and other relevant contacts
  • Manage office supplies and stocks; supervise procurement of food and housekeeping supplies needed for the facility’s daily operations
  • Participate in the onboarding of new staff, including on-the-job training
Requirements
  • Applicants must be based in Phnom Penh, fluently in both English and Khmer, and have relevant experience in office administration, with well-developed IT skills (Excel, Word, accounting software, graphic design software, social media apps). A flexible personality, willingness to learn, and the ability to solve problems that may arise daily (regarding maintenance, staffing, accounts, scheduling, etc.) are required. Experience in education or in working with children and teenagers (or at least the desire to do so) is highly desirable.
