Schedule: Monday to Friday with some evenings and weekend work
The Personal Assistant to the Operations Manager provides administrative, organizational, and operational support to ensure the efficient day-to-day running of the school’s facilities and services. The role supports operations across the academic and administration building, boarding dormitories, canteen services, transportation logistics, and school grounds.
The PA plays a key role in coordinating schedules, managing transportation arrangements for students and staff, maintaining accurate records, and assisting with operational and financial administration.
- Key Responsibilities – Administrative Support
- Provide direct administrative support to the Operations Manager.
- Manage and maintain the Operations Manager’s diary, scheduling meetings and appointments.
- Prepare meeting agendas and take accurate minutes during operational meetings.
- Track and follow up on action items from meetings.
- Maintain organized filing systems for operational and administrative records.
- Assist with correspondence, reports, and documentation related to school operations.
- Assist with other duties and responsibilities as required or assigned by the supervisor to support departmental operations.
- Transportation & Logistics Coordination
- Coordinate and schedule school drivers for educational trips and excursions.
- Coordinate transportation for weekend and evening student activities.
- Coordinate student morning and evening pick-up and drop-off.
- Maintain driver schedules and vehicle allocation.
- Liaise with academic staff, boarding staff, and activity coordinators to plan transportation needs.
- Ensure transportation schedules are communicated clearly to relevant staff.
- Maintain transportation logs and trip records.
- Boarding & Campus Operations Support
- Support operational coordination across the academic and administration buildings.
- Assist in coordinating operations within boarding dormitories, canteen facilities, and school grounds.
- Assist with coordinating maintenance or operational requests where required.
- Act as a communication link between the Operations Manager and operational departments.
- Financial Administration
- Assist with accounting and administrative paperwork related to operations.
- Support the preparation and organization of invoices, receipts, and payment documentation.
- Assist with reconciliation of operational expenses and transportation costs.
- Maintain records for financial tracking and reporting.
- Coordinate with the finance department when necessary.
- Communication & Coordination
- Communicate effectively with teaching staff, boarding staff, drivers, and operational teams.
- Ensure operational schedules and updates are circulated to relevant staff members.
- Assist with coordination of school events, activities, and logistics where required.
- Strong organizational and time management skills.
- Ability to manage multiple schedules and priorities.
