In 2014, Smiling Gecko Cambodia (SGC) was officially registered as a local NGO in Cambodia. SGC is legally independent of Smiling Gecko Switzerland. Following its mission of “Cambodians helping Cambodians” the organization, focuses on fighting the causes of poverty and helping people to help themselves. To this end, SGC launched a project on a previously acquired site to the North of Phnom Penh whose objective is to provide several thousand Cambodians with future job training and a regular income in the sectors of education, agriculture, tourism, industry, and trade.

Education is the linchpin for the development of any society. Providing schooling for children is therefore of paramount importance to the cluster project of Smiling Gecko. The local village school was renovated in 2015. In November 2017, SGC/Smiling Gecko Education Campus opened a separate primary school and a kindergarten. The Smiling Gecko School is to be extended over the coming years to include a high school. We are about to establish an education center for around 1100 students that serves as a model for the school system in Cambodia.

Position Summary

Duties & Responsibilities:
  • Lead and manage the daily operations of campus support services to ensure efficient, effective, and high-quality service delivery.
  • Supervise, coach, and support the Heads of Custodians, Food Service Team, Security Team, and Support Service Coordinator to achieve departmental objectives and maintain high performance standards.
  • Develop, implement, and continuously improve operational policies, procedures, and systems that enhance service quality, operational efficiency, and resource utilization.
  • Ensure that all school facilities, classrooms, offices, dining areas, dormitories, and common spaces are clean, safe, functional, and well maintained.
  • Coordinate preventive and corrective maintenance of buildings, infrastructure, equipment, and utilities to minimize operational disruptions.
  • Oversee campus security operations, visitor management, emergency preparedness, and incident response to ensure the safety and security of students, staff, and visitors.
  • Ensure food service operations comply with hygiene, sanitation, food safety, and nutrition standards while delivering high-quality meal services.
  • Coordinate transportation, logistics, accommodation, event support, and other operational services required for daily school activities and special events.
  • Conduct regular inspections and operational audits to identify risks, monitor service standards, and implement corrective actions where necessary.
  • Prepare operational budgets, monitor expenditures, manage resources efficiently, and recommend cost-effective improvements without compromising service quality.
  • Ensure compliance with organizational policies, child safeguarding requirements, occupational health and safety regulations, and all applicable legal and regulatory requirements.
  • Develop operational contingency plans and coordinate responses to emergencies, incidents, and business continuity requirements.
  • Collaborate closely with academic and administrative departments to ensure operational services effectively support teaching, learning, and student well-being.
  • Analyze operational performance through data, reports, and key performance indicators, and provide recommendations for continuous improvement.
  • Lead, mentor, and develop operational staff by conducting performance reviews, identifying training needs, and fostering a culture of accountability, teamwork, and professional growth.
  • Manage supplier and contractor relationships to ensure quality service delivery and compliance with contractual obligations.
  • Perform other duties and responsibilities assigned by the Head of School.

Front Office Manager

Duties & Responsibilities:
  • Lead, supervise, and develop the Administration Officer, Inventory Controller, Office Assistants, and Cashiers to ensure high performance and effective teamwork.
  • Manage the daily operations of the school front office, ensuring professional, efficient, and responsive services for students, parents, staff, visitors, and external stakeholders.
  • Oversee student admissions administration, enrolment documentation, student records, correspondence, filing systems, and other administrative processes, ensuring accuracy, confidentiality, and compliance with school policies.
  • Supervise cashier operations, ensuring accurate processing of tuition fees, registration fees, school service payments, receipt issuance, daily cash reconciliation, and compliance with financial procedures.
  • Oversee inventory management for educational materials, office supplies, stationery, uniforms, equipment, and other school assets by ensuring accurate stock records, conducting regular stock counts, and coordinating replenishment.
  • Coordinate office support services, including document management, meeting arrangements, office logistics, and administrative support for school activities, examinations, admissions, and events.
  • Maintain a professional, organized, and welcoming front office environment that delivers excellent customer service and promptly addresses enquiries, requests, and complaints.
  • Collaborate with the Operations Manager, academic staff, Finance, Human Resources, Safeguarding, and other support departments to ensure the smooth operation of the school.
  • Develop, implement, and continuously improve front office procedures, administrative systems, and internal controls to enhance operational efficiency and service quality.
  • Monitor compliance with school policies, safeguarding standards, financial procedures, data confidentiality requirements, and other applicable regulations.
  • Prepare and submit regular operational reports on front office activities, administration, cashiering, inventory, and team performance, while recommending improvements where appropriate.
  • Assist in planning and coordinating school events, student registration, orientations, examinations, and other operational activities.

FUNCTION : Operations

Duties & Responsibilities:
  • Support the implementation of the Sponsorship Program in accordance with organizational policies, procedures, and standard operating procedures (SOPs).
  • Maintain accurate and up-to-date sponsorship records, databases, and filing systems.
  • Process sponsorship applications, renewals, transfers, terminations, and other sponsorship-related updates.
  • Coordinate the collection of sponsorship letters, photographs, student profiles, progress reports, and other required sponsorship materials.
  • Draft and prepare correspondence, reports, and sponsorship documents for review by the Sponsorship Coordinator.
  • Respond to sponsor enquiries and provide timely follow-up under the guidance of the Sponsorship Coordinator.
  • Liaise with school staff to collect student information and ensure sponsorship records are complete and accurate.
  • Assist in organizing sponsor visits, virtual meetings, and sponsorship-related activities.
  • Ensure the confidentiality and security of sponsor and beneficiary information.
  • Monitor deadlines to ensure sponsorship communications and reports are completed on time.
  • Support data verification, audits, monitoring activities, and continuous improvement initiatives.
  • Provide general administrative support, including scheduling meetings, maintaining records, and preparing presentations.
