Provide support to the Operations Manager to facilitate all administrative & business aspects to ensure the effective and efficient operation of Centre/Branch Clinics.
Reports to: Operations Manager/(in the interim to the CEO)
Duties & Responsibilities:
- General Management
- Provide overall day-to-day leadership and direction to all staff at Centres/Branches under supervision.
- Support the Ops Manager to meet given KPIs & help to establish annual work year objectives for each Centre/Branch under supervision.
- Implementing all policies stipulated in the Group Policy Manual.
- Ensuring compliance with all procedures stipulated in the Group Operations Manual.
- Preparation & submission of Centre/Branch Quarterly Status & Growth Report to Ops manager/CEO.
- Attendance and taking of meeting minutes at management meetings.
- Sales and Marketing
- Working with the Marketing Manager to support marketing activities & to grow sales at Centres/Branches under supervision.
- Participating in Annual & Quarterly Sales & Marketing meetings chaired by CEO during the review and establishment of annual & quarterly marketing plans and the marketing budget.
- Patient & Administrative Matters
- Supervising the work of Clinic Consultants & Clinic Supervisors.
- Supporting the administrative needs of the Doctors.
- Ensure compliance with Group Operations Manual procedures for all matters with the assistance of the Clinic Consultants & Supervisors.
- Regular audit to ensure accuracy, completeness and safe-keeping of all patient and Centre/Branch administrative records with the assistance of the Clinic Consultants.
- First point of contact for staff counseling to resolve any issues.
- Point of escalation for resolving any patient administrative issues or complaints.
- Authority for load balancing and the resolution of resource conflicts.
- Responsibility for replenishment of consumables and the maintenance & repair of all equipment in the clinics under supervision.
- Assist the Ops Manager with the accountability for clinic assets.
- Ensuring the accuracy & timely submission of Weekly & Quarterly Reports to Group.
- Finance & IT
- Assist with the establishment and review of the annual & quarterly Centre/Branch budget with the assistance of the Finance Manager.
- Assist with the securing of approval for annual Centre/Branch budget from the CEO/ED and ensuring that Centre/Branch expenses fall within approved budgets.
- Proposal authority for all Centre/Branch purchases & payments.
- Petty cash control & management.
- Ensure compliance with all Finance policies and procedures in the Group Finance Manual.
- Regular audit to ensure data integrity in the ERP.
- Ensuring compliance with Group IT policies.
- Supervising the work of the IT Manager/Outsourced Services Vendor.
- HR and EOH&S
- Ensuring compliance with all local labour laws with the assistance of the Group HR Manager.
- Secure CEO/ED approval annually for Centre/Branch headcount.
- Responsibility for all staff administration with the assistance of the Group HR Manager.
- Staff appraisal & recommendations for promotion, annual increments, incentive schemes & bonuses.
- Responsibility for staff attrition.
- Staff development & training.
- First point of contact for the resolution of staff inter-personal conflicts as and when necessary.
- Team building & staff counseling.
- Assist the Ops Manager to ensure that adequate insurance coverage has been secured for the Centre/Branches under supervision.
- Assist the Ops Manager to manage of all environmental and operational health & safety (EOH&S) matters.
- Legal
- Assist the Ops Manager with the securing operating licenses & permits for the Centre/Branch.
- Assist the Ops Manager with compliance with all local regulations.
- Assist the Ops Manager with compliance with all local guidelines for corporate governance.
Clinic Assistant cum Translator
Position Circumstances

The Clinic Assistant cum Translator supports smooth daily clinic operations while providing accurate, professional translation (Khmer ↔ English, and/or Khmer ↔ Chinese if applicable) between the chiropractor and patients. This role is client-facing, service-driven, and requires excellent communication, confidentiality, and attention to detail.
Duties & Responsibilities:
- Patient Service & Front Desk
- Welcome patients warmly and provide a premium, calm clinic experience.
- Manage patient registration, appointment scheduling, and check-in/check-out.
- Handle phone calls, WhatsApp/Telegram/Facebook messages, and walk-in enquiries promptly.
- Collect payments, issue receipts, and support simple daily cash reconciliation.
- Explain clinic processes clearly (what to expect during assessment/treatment, preparation steps, aftercare reminders).
- Translation & Communication Support
- Translate accurately and neutrally during consultations, assessments, and treatments (Khmer ↔ English).
- Ensure patient concerns, pain descriptions, and medical history are translated clearly and completely.
- Translate instructions for home care, posture advice, follow-up plans, and consent-related explanations.
- Support translation of common clinic materials (aftercare notes, basic FAQs, simple scripts/messages).
- Maintain professionalism: do not add personal opinions; translate meaning faithfully.
- Clinical Assistance (Non-invasive)
- Prepare treatment rooms: cleanliness, linen changes, equipment readiness.
- Assist with basic patient positioning and comfort support as directed by the chiropractor.
- Maintain stock of consumables (towels, wipes, disinfectants, gloves, etc.) and alert manager for reordering.
- Follow hygiene, infection control, and clinic safety procedures consistently.
- Administration & Records
- Maintain accurate patient records (basic details, visit notes support, follow-up schedules) according to clinic SOP.
- Support marketing/admin tasks when needed (simple posting support, replying FAQs using approved scripts, referral tracking).
- Coordinate appointment reminders and follow-ups for missed appointments or post-visit care.
Expected Profile of Candidates
Skills & Knowledge:
General & Technical Skills
- Fluent in Khmer and English (spoken and written). (Chinese is a bonus if your clinic needs it.)
- Strong interpersonal skills and confidence speaking with patients of different ages/backgrounds.
- High integrity: able to handle sensitive patient information confidentially.
- Organized, punctual, and able to multitask in a busy clinic environment.
- Comfortable using smartphones and basic computer tools (Google Sheets, messaging apps, booking tools).
- Prior experience in clinic, hospitality, or customer service is preferred but not mandatory (training provided).
