Operations Coordinator
- Career Category: Exec. / Management, Operations Management
- Schedule:Full-time
- Salary: Negotiable
Schedule: Full-time, 10am -6pm, Monday-Friday.
Overview
We’re looking for a digitally fluent, organized, and emotionally intelligent Operations Coordinator to support a fast-paced creative executive working across music, media, and technology projects.
This is a hands-on role where you’ll learn directly from a high-level executive — gaining insight into creative leadership, project management, and the inner workings of a global entertainment company. You’ll help turn ideas into organized systems, keep projects on track, and ensure communication flows smoothly between teams.
It’s a perfect fit for someone who loves both structure and creativity, who finds satisfaction in bringing order to chaos, and who wants to grow into a key operational or producer role over time.
** Please note that this job may involve attending events/Concerts in the evenings or weekends, or public holidays. *
- Project Coordination & Tracking: Manage tasks, timelines, and deliverables using digital project management tools (Asana, Notion, Trello).
- Digital Organization: Turn creative notes and concepts into structured systems — clear, searchable, and easy for teams to follow.
- Executive Support: Help the executive stay focused by tracking follow-ups, summarizing meetings, and ensuring priorities are met.
- Research & Tech Support: Conduct research, explore productivity tools, and troubleshoot light IT or workflow issues.
- Communication Bridge: Maintain clear, warm, and professional communication between the executive, teams, and partners.
- Creative Ops Support: Assist in coordinating logistics for music, events, and content productions.
- English communication skills — clear writing, confident speaking, and active listening.
- Digital mindset: comfortable using or learning tools like Asana, Trello, Notion, and Google Workspace.
- Basic IT understanding: familiarity with file management, backups, and software troubleshooting.
- Organized and detail-oriented: you love making sense of complex information and turning it into action.
- Analytical and intuitive: you can spot what’s missing and know when to ask questions.
- Collaborative energy: able to communicate kindly, follow through, and work with different personalities.
- Project experience: ideally, you’ve coordinated or supported a project (event, campaign, or creative initiative) from start to finish.
- Familiarity with AI productivity tools or workflow automation.
- Background in music, media, or creative production.
- Experience organizing or supporting events or campaigns.
- Interest in the creative industries, technology, or entrepreneurship.
