HR Administrative Intern

Position Summary

Report to: People and Culture Coordinator

Duration: 6 months (possible to extend)

The intern will assist and learn from the People and Culture Coordinator as well as the P&C team about the recruitment process, documentation, and filing and updating personal information including facilitating interview schedules, arranging appointments with candidates, and monitoring during the process. S/he also provides support in updating HR records and performing day-to-day administration of a range of other HR tasks as needed.

Duties & Responsibilities:
  • Recruitment Support
  • Assist in contacting candidates to schedule interviews and provide necessary information.
  • Assist in arranging meeting rooms to ensure a conducive environment and accompany candidates during their interviews.
  • Assist in preparing and printing relevant recruitment documents.
  • Personal File Management
  • Assist in scanning and organizing documents for recruitment employee files.
  • Work closely with P&C Coordinator on reviewing staff personal files and ensure all required documents are in place.
  • Assist in searching for documents as needed for Audits or reviews.
  • General Administrative support
  • Assist in upkeeping of the HRMIS system (as and when required), including accurate data entry and leave tracking
  • Assist P&C coordinator in dealing with Ministry of Labour and Vocational Training on legal compliance such as apply employment workbook, NSSF card, work permit, staff movement declaration and assist staff to apply for health checkup and criminal check.
  • Assist P&C team in processing payments and other logistic arrangements as needed
  • Maintain confidentiality and professionalism in handling sensitive information
  • Assist other tasks assigned, contributing overall efficiency to the P&C team
Expected Profile of Candidates
Languages:
  • English - Good
Qualifications:
  • Bachelor's Degree in Business Administration, HR or related field with a strong interest in HR
Work History:
  • Human Resources experience, preferably within a corporate or INGO environment for 1 year
Skills & Knowledge:
General & Technical Skills
  • Computer skills (MS Word, MS Excel, PowerPoint, Email, Internet)
  • Good spoken and written English.
Soft Skills
  • Demonstrated commitment to learning.
  • Strong attention to detail with the ability to maintain accurate HR records and documentation
  • Commitment to ActionAid Cambodia’s mission, values, and SHEA and safeguarding principles.
  • Good interpersonal communication skills with positive attitude towards learning and sharing

Child Sponsorship Volunteer (4 Positions)

Position Summary

Report to: Programme Partnership and Child Sponsorship Coordinator

Duration: 6 months (possible to extend)

CS Volunteer will work alongside with other interns, volunteers and PP & CS team to provide assistance in maintaining a timely supporter communication service through translation and edition of relevant documents such as child messages, child replies, supporter correspondent and reports, preparation of logistic and administration works and other assigned tasks to ensure our services to the children, communities, and supporters are quality.

Duties & Responsibilities:
  • Translation and quality check support
  • Provide quality translations of Child Messages, Child Replies, Supporter Correspondents and other related reports and documents.
  • Assist in safeguarding and editing the translations of Child Messages, Child Replies and Supporter Correspondents.
  • Monitor quality of child messages, child photo update, child new profiles and child replies.
  • Support partners at the field in the collection of quality and authentic child messages, child photos, child profiles and case study (based on need and availability of volunteer).
  • Logistic Support
  • Support in printing, scanning and renaming files in appropriate place
  • Support in order the CS materials like CM, CR, etc., and store them on an appropriate shelf and its designated place
  • Support in taking minutes during unit meetings and others
  • Packing child sponsorship communication, and stock and stationery.
  • Others
  • Support team in the arrangement of any related Sponsorship workshop, training, campaign, collecting CS communication materials and other assigned tasks by team.
Expected Profile of Candidates
Languages:
  • English - Good
  • Khmer - Good
Qualifications:
  • Undergraduate Degree
  • Bachelor's Degree is preferred
Skills & Knowledge:
General & Technical Skills
  • University student or preferably fresh graduate
  • Good comments of written English and demonstrated interest in the field of translation
  • Knowledge of applications including Excel, Word, email, typing both Khmer and English is essential.
  • Potentially fit for field work and be able to regularly travel and work with community and children.
Soft Skills
  • Good interpersonal communications skills.
  • Sense of responsive, result-oriented and self-committed person
  • Respect and committed to shared values of the organization: mutual respect; equity and justice; honesty and transparency; solidarity with poor and marginalized people; courage of conviction; and humility.
