Fixed Asset Officer

Position Summary

FTE: 1.0 (Full-Time)

Line manager: Associated Director of Operation

Direct reports: N/A

The Fixed Asset Officer is responsible for managing and controlling the organization's fixed assets, such as property, equipment, machinery, and inventory. Reporting of fixed assets, ensuring accurate valuation, depreciation, and tracking of these assets. Additionally, involved in developing and implementing procedures to safeguard and maintain fixed assets, as well as conducting audits and reconciliations to ensure compliance with regulations and internal policies.

Duties & Responsibilities:
  • Daily
  • Maintain and update the Fixed Asset Register (Excel-based) for new purchases, asset movements, disposals, or write-offs.
  • Record newly purchased assets based on approved Purchase Requisitions (PR) and Purchase Orders (PO).
  • Ensure fixed assets are properly tagged and labeled with asset codes or serial numbers where applicable.
  • Maintain a comprehensive inventory list of assets located across classrooms, offices, science & art class, sports areas, and other campus facilities.
  • Monitor and control the movement of assets between team, classrooms, and buildings.
  • Ensure asset transfers are properly documented and updated in the asset register.
  • Provide support to departments regarding asset verification, transfers, or inquiries.
  • Maintain records of operational inventory related to school activities such as teaching equipment, furniture, IT devices, and classroom resources.
  • Working with any internal or external personnel to ensure the protection of those assets
  • Representing the organization in any audit related to these fixed assets
  • Able to work multiple campuses if necessary (KP & BG)
  • Keep management informed of area activities and any significant problems
  • Maintain the confidentiality of the company's asset records
  • Manages any property tax or other taxation related to the assets
  • Manage property insurance and other related insurance

  • Perform daily reconciliations of fixed asset accounts with the general ledger.
  • Calculate and record depreciation for fixed assets in accordance with school accounting policies and relevant regulations.
  • Assist in the preparation of budgets related to fixed assets/inventory/other costs, providing insights into potential capital/operating expenditures.
  • Support forecasting activities by providing data on the expected lifespan and replacement costs of assets.
  • Ad-Hoc/Other
  • Coordinate with maintenance teams to schedule preventive maintenance for critical equipment.
  • Conduct regular physical audits to verify the existence, location, and condition of assets.
  • Monitor the condition of assets and initiate repairs or replacements as necessary to ensure optimal functionality.
  • Assist with the development and implementation of procedures for fixed asset management.
  • Prepare reports on fixed assets for management and auditors on a monthly and yearly basis.
  • Fleet management experience would be an asset
  • Performs other tasks assigned by supervisor/manager.
Expected Profile of Candidates
Languages:
  • Khmer - Good
  • English - Good
Qualifications:
  • Bachelor's Degree in Business Administration or a related field.
Work History:
  • Experience in fixed asset management or a similar role for 2 to 3 years as a minimum
Skills & Knowledge:
General & Technical Skills
  • Knowledge in tax law is preferable.
  • Strong understanding of accounting principles and fixed asset regulations.
  • Proficient in Microsoft Office Suite (Excel is a must).
  • Write and speak Khmer and English
Soft Skills
  • Excellent analytical and problem-solving skills.
  • Excellent organizational skills with a keen eye for detail.
  • Good communication and interpersonal skills.
  • Ability to work independently and as part of a team.
