Finance Officer
PURPOSE
We’re looking for a talented, results-focused Finance Officer to oversee the organisation's finances including financial reporting, budget management and accounting.
The role of the Finance Officer is to improve quality and efficiency, and help lead our professional team to new levels of productivity and performance. You will help the organisation perform well, and ensure financial transactions are conducted ethically and legally.
REPORTS TO Program Manager.
HOURS
- Part-time- 3 days per week (days negotiable between Monday and Friday).
- Working hours are between 8am – 5pm with a one hour lunch break.
REMUNERATION AND CONDITIONS
- Unspecified duration contract
- $390 USD per month for 3 days a week.
- 13 months salary per year
- All public holidays as specified by the government
- 18 days paid Annual Leave
- 7 days Special Leave (which includes sick leave)
- Local health and accident insurance

- FINANCES
- Prepare Annual budget, with the Program Manager and submit to CFO for approval, and compare actual expenses to budgeted expenses quarterly.
- In collaboration with the PO, oversee annual reporting requirements for government ministries and departments (MOFAIC, MOSAVY, tax department, labour department).
- Ensure accurate records of all income and expenditure.
- Review cash advance and get approval from the Program Officer.
- Review cash advance and get approval from the Program Officer.
- Ensure the cash advance supporting documents are correct.
- Record transaction in Cash book, E-filing, and in QuickBooks.
- Record additional curriculum class expenditure.
- Procurement of program materials and resources.
- With the Program Manager close the finance each month and do a cash check.
- Prepare financial statements for grant reports.
- Prepare monthly bank reconciliation in Quickbooks
- Make recommendations to the Program Manager for example; expenditure for moto maintenance, office repairs.
- SALARY AND BENEFITS
- Calculate tax payments and prepare monthly tax reports.
- Prepare the payroll list and send to the bank to process.
- Timely payment of NSSF.
- Make seniority and 13 mth bonus payments.
- Make university payments for employees.
- ADMINISTRATION
- Manage health and vehicle insurance.
- Management of office premises including drinking water, repairs.
- Asset management.
- Visa support for International staff.
- Inform the Department of Labour of new employees and get a Work Book, and inform them of employees exiting.
- Post engaging job adverts/announcements.
- Keep employment record including employment contract, code of conduct, child protection policy, and other relevant documents
- Support recruitment and induction of new employees
- Liaise with candidates about their interviews, including those who are unsuccessful, so all have a good experience of Free To Shine.
- Keep records of employee contact details and emergency contact details, annual performance review dates, renewal/end dates for fixed term contracts, and warnings and disciplinary action.
- BOOKKEEPING AND ADMINISTRATION
- Support the Bookkeeper and Administration Assistant with the following tasks:
- Monitor and process employee leave.
- Perform the weekly cash count, and reconcile it.
- Timely payment of rent and utilities.
- Timely purchase of office supplies.
- Purchase employee uniforms.
- Asset management.
- Stock control.
- Keep record of correspondence by letter.
- Assist with scanning and printing documents.
- Keep an up to date contact list (Ministries, service providers, vendors, landlord).
- Record distance travelled by motorbikes.
- Other duties as directed.
- QUALIFICATIONS AND EXPERIENCE
- Master degree in Finance, Accounting or equivalent.
- At least 5 years work experience in finance or accounting.
