Facilities and Transport Assistant

Facilities and Transportation Assistant will provide general support to the Facilities and Transportation Manager, primarily by producing documents (procedures and reports) complying with Quality Management System requirements of IPC as well as operating documents delivery and payment collection to banks and customers.
Recruitment conditions:
- Contract: The initial contract is offered for 1 year (renewable).
- Start Date: Available to start on 1st July 2026
- Identify, prepare, and update documentation relating to the facilities and transportation section
- Ensure that all the records relating to the activities of facilities and transportation are well-documnted
- Ensure that all relevant documents are up-to-date and in compliance with Quality Management System requirements of IPC
- Implement and monitor controlled documents, including SOPs, work instructions, log, and activity records
- Operate and deliver documents to banks
- Deliver documents to Ministries and partners, including collecting signatures and proof of delivery
- Collect payment from clients
- Prepare monthly fuel consumption reports for vehicles
- Prepare monthly vehicles movement reports and vehicles vouchers
- Prepare staff rosters and schedule, and monitor team performance
- Monitor and ensure the cleanliness of the apartment
- Prepare vacant units/rooms for new residents, ensuring they are clean, spotless, and odor-free
- Performs other tasks assigned by the Manager.

- Bachelor's Degree in Business administration, Management or a related field

- Experience in documentation management is an advantage
- Good computer skills, including proficiency in Microsoft Word, Excel, PowerPoint
- Strong interpersonal and communication skills to interact professionally with staff, clients, and management
