Schedule: Full-time, 10:00 am - 6:00 pm, Monday-Friday
We are seeking a highly organized, intelligent, and detail-oriented Executive Assistant to support a fast-paced creative executive in the music and entertainment industry. This is not a typical admin role — you will be working at the intersection of creativity, strategy, and operations, helping translate ideas into clear, actionable plans.
You’ll be the right hand to the executive, ensuring nothing slips through the cracks, and you’ll have the opportunity to learn project management tools and industry workflows from the inside.

- Organize Ideas & Projects – Help structure and maintain the executive’s creative concepts, notes, and plans in an orderly, accessible way.
- Break down and organize ideas – Receive long written notes or ideas from the executive and turn them into clear, step-by-step plans. Training will be provided on using tools (including AI) to make this process easier.
- Tool Management – Learn and maintain task management in Asana (training provided).
- Research & Preparation – Use online research and digital tools to gather information, create summaries, and prepare materials for meetings or pitches.
- Follow-up & Reminders – Keep projects moving by ensuring deadlines and commitments are tracked and met.
- English - Good
- Exceptional English reading, writing, and listening skills
- Analytical thinker with the ability to break down complex ideas into actionable steps.
- Quick learner who is comfortable with technology and eager to learn new tools (including AI tools).
- Familiarity with AI productivity tools.
- Basic technical understanding of film production and music file organization (e.g., knowing the difference between a .wav, .mp3, and stems; understanding basic connector types like USB-C).
- Experience in entertainment, media, or project coordination.
- Experience using Asana or similar project management platforms
- Ability to think about long-term projects in Gantt charts, bullet points, and/or timeline formats
- Highly detail-oriented and organized, with strong follow-through.
- Self-motivated — able to figure things out independently while knowing when to ask for input.
- Able to thrive in a fast-changing, high-pressure creative environment.
