Events Consultant

Position Summary

Department: Events

Reports To: Events Manager

Position Overview
The Events Consultant is responsible for MICE (Meetings, Incentives, Conferences and Exhibitions) requests and manages the overall handling of such enquiries. S/he coordinates all aspects from proposal till handling on the ground and manages a team of operations staff.

Expectations - Duties, Responsibilities
  • Ensuring proposals are sent out to agents/clients in correct form and time and with adequate creative content fitting or exceeding client requirements.
  • Creating continuously new ideas and adapting current programs to specific requests.
  • Handle requests from agents and from direct clients: quotation, request rates from suppliers and negotiation, product presentation and follow up
  • Follow events files from first request to after-event feedback
  • Negotiating with preferred suppliers and hotels to obtain the best terms & conditions.
  • Maintaining excellent working relations with agents, clients and our preferred suppliers.
  • Making sure that EXO’s standard procedures are applied to deliver optimal and consistent services.
  • Supervise operations on the ground, both in Phnom Penh and in Siem Reap, or any places in Cambodia when the department has too many groups back to back.
Requirements - Skills, Qualifications, Experience
  • Qualifications:
  • Bachelor’s Degree or higher in Tourism with minimum 2 years’ experience in Events Department.
  • Fluent in spoken and written English (French as a second language would be an advantage) with an ability to compose compelling proposals with accurate use of the English language.
  • Profound understanding of western culture and client expectations.
  • Good computer skills (MS Office; Word, Excel, Outlook, PowerPoint).
  • Skills:
  • Hands-on experience with the ability to work as part of a team.
  • Excellent sales, communication and negotiation skills.
  • High degree of customer service with an eye for detail and presentation.
  • Strong organizational skills, ability to work under pressure and to prioritize tasks.
  • Ability to work as an effective team leader with excellent interpersonal skills.
 
 

Tour Plan Data Entry Officer

Position Summary

Department: Tourplan/Product

Reports To: Tourplan Supervisor/Manager

Position Overview
To be responsible for updating and maintaining the database to ensure all information is always accurate and up to date.

Expectations - Duties, Responsibilities
  • Responsibilities:
  • Receive the information (new contracts, promotions… from hotel, restaurants, car and other suppliers all over destination), analyse data and input into the database.
  • Create or update new information such as email, address, telephone, fax… in Creditor and Debtor modules.
  • Ensure that the data is maintained in accurate and up-to-date status, and ensure the input is followed properly to system’s principles and standards.
  • Control all new services are entered into the system in a timely and correct manner.
  • Establish and maintain a structure within the database to effectively identify specific segments of data for various analysis.
  • Meet deadlines and be able to make decisions and to prioritise tasks.
  • Coordinate with Contracting section to ensure all contract information has been input and updated on database as well as be a good-filling system.
  • Coordinate with Product section to input or update price into the system.
  • Work Relation
  • Work well and closely with teams of Tourplan, Contracting and Product.
  • Provide fully support on requests of Sales, Inbound and Operations departments.

  • Qualifications:
  • Bachelor’s degree in any field.
  • Experience in using Tourplan System or similar is a plus.
  • Good knowledge of travel industry and destination tourism.
  • Good command of both written and spoken English
  • Be precise, detailed and systematic

  • Ability to work independently and to meet deadlines.
  • Strong organisational skills, ability to work under pressure and to prioritise tasks.

Travel Consultant

Position Summary

Department: Inbound

Reports To: Inbound Supervisor

Position Overview

Working within a team, you will be in daily contact with our clients and sales offices, processing bookings, answering questions and creating travel itineraries. We have clients from all over the world, however we specialize in European, US and Australian markets.

A good Travel Consultant is focused on providing the best service/advice to our agents, has good product knowledge and keeps looking to improve it, has a professional mind-set and a passion for travel and his/her work.

Expectations - Duties, Responsibilities
  • Correspond with overseas travel agents and partners of the company and provide them accurate, up-to-date and correct travel information
  • Advise, create outlines and Travel itineraries for Tour operators/ Travel agents
  • Make quotations/proposals and reconfirm bookings with/for overseas agents
  • Make reservations with local suppliers and hotels if needed
  • Understand about the existing and new products being offered by the company to be better able to fit the client requirements
  • Work with the Operations team to deliver optimal service to clients on the ground
  • Issue invoices in due time and assist accounting department with regard to payment
  • Ensure all sales are reported in Tourplan software for your sales report
  • Ensure EXO standards and Inbound processes are followed
  • Look to improve handling time and productivity by making suggestions on how to simplify or speed up work processes
  • Strive to achieve a high ratio of conversions versus enquiries
Requirements - Skills, Qualifications, Experience
  • Qualifications:
  • Bachelor’s Degree in Hospitality, Tourism, Business or other related field
  • Good command of written and spoken English/ Spanish/ German/ French (depending on department asssigned)
  • Minimum 1 year of experience in Inbound Tour Operations or related field
  • Good attitude, well organized, hardworking, with the ability to work as part of a team
  • Skills:
  • Affinity with travel industry and knowledge of destination and surrounding countries
  • Ability to work under pressure in peak season periods within timeline
  • High degree of customer service with an eye for detail and presentation
  • Strong organizational skills, ability to work under pressure and to prioritize tasks
  • Good computer literacy (MS Office; Travel related software)
