Position Summary

The position is critical in building, upgrading and maintaining company’s service level with customers by assuring the maximum level of data quality, responsiveness and reliability.

The Data Operation Associate main responsibility is to ensure correctness and timeliness of all shipping information to be updated in Damco systems. MODS is our core system, and all data must be input and maintained in a correct manner based on client’s Standard Operating Procedure (SOP).

After shipment departure, Data Operation Associate must be able to deliver operational support in response to shipment tracking; follow up if special requirement from client and destination (such as US, Canada and Japan customs) is successfully met. This position requires the person to work collaboratively with each other (other team member), with team leader, as well as members and team leaders of other departments, especially operations team, to ensure all requirements are in place, fulfilled and delivered with excellent KPI.

Expectations - Duties, Responsibilities
  • Work closely with operation team to get all necessary documents and/or shipment information to be updated on time and accurately into MODS.
  • Input, verify, and monitor data/information in relevant systems which have interface connection with MODS, such as: LNS, myMaersk, High Jump, and other web applications.
  • Confirm booking to vendors on time.
  • Send shipping instruction (SI) and VGM/CCAM to carriers before cut off time.
  • Ensure special requirement (ISF, ASN, ACI, AMS and AFR) are sent timely to client and relevant parties with 100% accuracy.
  • Update SOP and IOP to the latest version as provided by CUS (Client) and maintain the copies (all versions) on shared drive;
  • Ensure 100% compliance with provided SOP and/or IOP.
  • Inherit the continuous improvement concepts by continuously working to improve productivity targeting to be benchmark for other regions.
  • If required, Data Operation Associate will need to actively involve in certain projects/actions which fall under CI department per se; implementation of Operational Excellence is a solid example.
  • Drive continuous improvement in terms of customer satisfaction, employee engagement, process and performance to increase service delivery standard of document operation.
Requirements - Skills, Qualifications, Experience
  • Basic Qualification
  • Senior university student / Fresh graduate/Bachelor degree holder in Business Administration / Information Technology.
  • Excellent typing skill.
  • Knowledge and/or working experience in Visual Basic is preferable
  • Good computer literacy: Ms Word, Excel (Advanced level is preferable), Outlook/Email, Internet
  • Good command of English in both verbal and writing communication
  • Good interpersonal skills and ability to engage with team and manage the workload
  • Self-management and sound knowledge of being a highly responsible
  • Understand the sense of urgency; commit to deadline and 100% compliance.
  • Have attention to details
  • Well-organized when working under pressure
  • Preferred Qualification
  • Experience in operations or customer service in logistics/ supply chain/ shipping or related
  • Strong inter-personal and relationship-building skills
  • Possess continuous improvement mindset
