Admin and Finance Assistant (1 Position)
Reports To : Finance Officer
Responsible For : Finance/Accounting Affairs
Duration and Work Conditions
- Duty station: Phnom Penh, with occasional travel to provincial sites (Kratie, Mondulkiri, Kampot).
- Standard working hours: [Monday–Friday, 8:00 AM – 5:00 PM].
- Financial Responsibilities
- Ensure all accounting documents are complete, accurate, and properly filed before processing.
- Review cash advances, settlements, and other fund requests for proper calculation, donor coding, formats, and supporting documentation.
- Record financial transactions according to CRDT’s financial policies and donor regulations.
- Support monitoring of actual expenditures against budgets.
- Manage petty cash, including count sheets, reconciliations, and replenishment.
- Process payments to suppliers and service providers, ensuring timely settlements.
- Assist in preparing payroll, including payroll vouchers, bank transfer lists, and ensuring staff salaries are paid on time.
- Support preparation of audit documentation and donor financial reporting.
- Administrative Responsibilities
- Maintain proper filing systems for finance and administrative documents.
- Assist in procurement processes, including collecting quotations, verifying supplier compliance, and ensuring documentation meets CRDT and donor standards.
- Manage and monitor office supplies, stationery, and other logistics needs.
- Provide logistical support for meetings, workshops, and field visits.
- Perform other admin/finance/logistics-related tasks as assigned by the Finance Officer or Admin/Finance Manager.
- Bachelor’s degree in accounting, Finance, Business Administration, or related field.
- Minimum of 1–2 years of experience in finance/accounting or administrative support, preferably with NGOs.
- Basic knowledge of accounting systems and financial management principles.
- Good command of Microsoft Office (Excel, Word, Outlook).
- Knowledge of QuickBooks or other accounting software is an advantage.
- Strong organizational and communication skills.
- High attention to detail, integrity, and ability to meet deadlines.
- Ability to work both independently and as part of a team.
- Fluency in Khmer; working knowledge of English is preferred.
